CoachSolo ("we", "us", "our") is a mobile application and web service designed to help sports coaches manage athlete scheduling, lesson plans and communications. Our website is coachsolo.co.uk and our iOS app is available on the Apple App Store.

For the purposes of UK data protection law (UK GDPR and the Data Protection Act 2018), CoachSolo is the data controller for personal data processed through our services.

2. Data We Collect

We collect the following categories of personal data:

  • Coach profile data: name, email address, sport disciplines, qualifications and location preferences entered during onboarding.
  • Athlete data: first name, last name, age group, sport, and performance notes entered by the coach.
  • Parent / guardian contact data: name, phone number and email address, entered by the coach to facilitate session reminders.
  • Session data: scheduled session times, locations, attendance records and lesson plan details.
  • Payment records: token balances and payment status (no card or bank details are stored — we do not process payments directly).
  • Device data: anonymous crash reports and usage analytics to improve app stability.
  • Waitlist data: email address if you submit the "Join Beta" form on this website.

3. How We Use Your Data

We use your personal data to:

  • Provide and operate the CoachSolo app and its features.
  • Send session reminder notifications to parents and guardians (only when initiated by the coach).
  • Improve app performance and fix bugs using anonymous diagnostic data.
  • Contact beta testers and waitlist members about product updates (with your consent).

We do not use your data for advertising, profiling, or sell it to any third party.

4. Legal Basis for Processing

We process personal data under the following lawful bases:

  • Contract: processing necessary to provide the service you have requested.
  • Legitimate interests: improving the app, fixing bugs, and ensuring security.
  • Consent: sending marketing communications to waitlist subscribers.

5. Data Storage and Security

Athlete and session data entered in the CoachSolo iOS app is stored locally on your device using Apple's SwiftData framework. It is not transmitted to external servers unless you explicitly use a sharing or export feature.

Waitlist email addresses collected via this website are stored securely and are not shared with third parties.

We implement appropriate technical and organisational measures to protect your data against unauthorised access, loss or disclosure.

6. Data Retention

Data stored locally on your device is retained until you delete the app or use the "Reset App & Data" function within the app. Waitlist email addresses are retained until you unsubscribe or request deletion.

7. Sharing Your Data

We do not sell, rent or trade your personal data. We may share data with:

  • Apple Inc. — for app distribution, crash reporting (via TestFlight / App Store) and device notifications (APNs).
  • Vercel Inc. — for hosting this website. Vercel may process anonymised request logs.
  • Legal authorities — if required to do so by law.

8. Your Rights

Under UK GDPR you have the right to:

  • Access the personal data we hold about you.
  • Request correction of inaccurate data.
  • Request deletion of your data ("right to be forgotten").
  • Object to or restrict certain processing.

CoachSolo is intended for use by coaches (adults). Athlete data relating to minors is entered and controlled solely by the coach, who is responsible for obtaining appropriate consent from parents or guardians in accordance with applicable law.

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated date. Continued use of the app or website after changes constitutes acceptance of the updated policy.
